What are the hardware and software requirements?

You will require the latest version of either Chrome or Firefox browser on your computer to run the application.

How can I access the portal?

The portal can be accessed through the standalone or the CMS-integrated version.

Standalone version

For the standalone version, please go to this website: hs.meshbio.com and login with your credentials.

CMS-integrated version

The CMS-integrated version can be accessed through your CMS by going to the particular patient’s record and clicking the “Health Screen” Application.

How do I set up a user account?

Registering with Mesh Bio

When you sign on with Mesh Bio, you’ll be given organisation and user login credentials. Your administrator will be able to manage the users of your organisation.

Registering with CMS

Our IT team will integrate the portal into your CMS so that you can use it within the CMS and access it using your existing CMS login details.

Integration with Clinical Management Systems(CMS)

We are currently successfully able to integrate within Plato. We will set up our Health Screen application in plato for you to generate the reports. We can pull patient data from the patient records and pdf reports in the patient’s folder. If your organization uses a different CMS, please contact support@meshbio.com with more information so that we can integrate within your preferred CMS.

Who can edit patients’ health records?

Please provide us with a list of the user roles and the preferred access permissions for each role.

Based on the number of user roles in your organization, the access permissions can be customized according to your requirements for each user role. In the HS portal tab, the access permissions for each tab can be set to either view or edit. If a user role is set to be able to view a certain tab, the user can only view the content and cannot make any changes. If a user role is set to be able to edit a tab, the user can save the changes made in the tabs.

Permissions to generate the draft and final pdf report also can be set according to your requirements.

How can I login to the portal?

Standalone version

Each user of an organization will be provided with their login details to log into the standalone HS-Portal.

CMS-integrated platform

Use your existing account to access plato. After logging in, you can either create a new patient or look for a patient in the database. Click on the patient you are looking for then click on “Health Screen”. From there you can open/create a session.

Why can't I create/open a session?

If you are unable to open/create a session and the page is empty with only the patient NRIC displayed, your user role may not have been initialised in our database. Please contact your IT team in this case.

How do I close a session?

If you wish to save and close an open session, please click the “Archive” button in the HS portal main page.

On clicking this button, the “Health Screening Records” page will be shown with the session closed. Once you have archived a session, the session's patient data can no longer be edited.

How are the patients data managed?

Patients are being managed by Plato. Please use Plato’s “All patients” to search for the patient you would like to record data for.

Patient’s health screening records are matched by their NRIC no. first, if there is no match for NRIC, PlatoID will be used to match the patient.

Patients with existing health screening records will not be affected by the change of NRIC in Plato.

How to import patient’s data?

For System integrated in Plato

Some patient data is pulled from the patient’s records in plato.

CMS data sync

The below parameters are synced automatically between DARA report and your CMS.

a. Name

b. Patient’s ID

c. Gender (Compulsory)

d. Birthdate (Compulsory)

If any of the compulsory fields are not entered, report generation will not proceed.

To avoid this instance, please configure your CMS settings to make these fields compulsory when you create a patient (if possible).

Laboratory and imaging data is pulled from HTML and PDF reports uploaded to certain patient’s record folders. Refer to Uploading PDF and HTML reports for more information.

Can I merge two of the same patient’s plato records?

If the patient has the same NRIC number in Plato, the patient's health screening record will be the same. However, if a patient has a different NRIC/Passport number, merging the old account while keeping the new account will result in loss of accessibility of the old account’s health screening record through Plato.

Please contact customer service at support@meshbio.com with the details below so as to ensure the health screening records will also be merged when you locate the records through the new patient’s id.

What happens if a patient changes their NRIC in plato?

Patients with existing health screening records will not be affected by the change of NRIC in Plato.

How to navigate around the portal?

Please refer to the diagram below to understand the portal navigation through the different buttons in the HS Portal page.

There are many tabs within the HS Portal page. Clicking on each tab will take you to the tab’s page.

How to save and close a health screening session of a patient?

If you wish to save and close an open session, please click the “Archive” button in the HS portal main page.

On clicking this button, the “Health Screening Records” page will be shown with the session closed. Once you have archived a session, the session's patient data can no longer be edited.

What are the packages available?

Our package selector consists of most commonly available tests used in health screenings. If there are any tests you regularly offer but are not in our current list of offerings, please contact support@meshbio.com.

Alternatively, you can choose a pre-loaded package for your patient. Parameters which are already included in the package will be marked grey. You can add individual tests for the patients by checking the respective checkboxes which will be marked blue.

How many pre-loaded packages do I have access to?

*Male and Female versions of the same package are considered 1 package.

Can I change my package?

Your organisation’s health screening packages are pre-loaded in the system. If there are any changes in package parameters or a new package creation, please contact customer service at support@meshbio.com. Changes will be reflected in 3 working days.

How do I update the patient's current package?

Choose the package for your patient. Parameters which are already included in the package will be marked grey. You can add individual tests for the patients by checking the respective checkboxes which will be marked blue.

Click the save button to start or continue the session.

What are the health screening tabs?

The tabs shows the parameters covered in the patient’s package. There are 2 ways to fill up this tab, either through data that was entered either in the health screening questionnaire or was gathered during consultation.

What do the colours on each tab represent?

All tabs are color coded and signify the overall completeness of data collection for a health screening session. Below is a chart summarising the meaning of different colors of the health screening tabs.

At the start of the session, all the tabs will be red except for Health History which can be either red or orange. Red indicates that a patient has not submitted their health history or they could have submitted under a different NRIC/FIN/Passport No. Orange indicating that a patient has submitted their health history questionnaire.

If your organisation did not subscribe to usage of the patient’s health history questionnaire, the “Health History” tab should always be red. To use a health history questionnaire for your patients, please contact customer service at support@meshbio.com.

Am I able to add additional tabs?

We can customise additional tabs to meet your organisation’s workflow or requirements. Please contact support@meshbio.com.

How can patients submit their own health history?

Patients will submit the health history questionnaire on your company’s customised url. Please contact your IT support for the URL.

How to sync the Lab’s PDF/HTML reports? What do I do when the sync doesn’t work?

After the sync button is pressed, do not make any changes to the laboratory tab until the sync’d values are shown. Saving the lab tab at this point will overwrite the sync’d values.

If the sync does not work, change the system time for the note to upload the lab report again and press the sync button.

In an event when the same parameters are extracted twice in one sync, no values will be shown as the system is unable to decide which value to show. In this scenario, it’s recommended to sync only one report at a time.

Physical Exam Tab

This tab consists of the parameters that are involved in the patient’s physical examination. Below is an example of the “Throat” section and its corresponding parameters. All parameters come with options of selecting Normal, Abnormal or NA. All sections have their individual remarks box.

Clicking the save button at the bottom of each section will save the data entered into each section.If you would like to customise the parameters, the options in the dropdown list or theremarks box, please contact our customer service at support@meshbio.com.

The skeleton has links to the individual sections. At the feet of the skeleton, there is an overall “save” button. Clicking the overall save button will save all the sections. The tab may be orange if data was entered but not saved for all sections. For a start, all results are defaulted as “Normal”. Normal results will be shown in the final report as black results while. Abnormal results will be shown as red results. If a body part was not examined, change the result in the dropdown boxes to “NA” and the parameter will not show in the final report.

Biometrics Tab

The functionality of this tab is similar to the others. The value of BMI and waist-hip ratio are auto calculated. Click the save button to save your changes.

BP and Pulse Tab

This tab allows you two readings as a base requirement. The number of readings can be customized. Each reading has a ‘Show in the report’ radio button. This by default is set for the first reading. Clicking this radio button will consider this reading to generate the patient report. Checking ‘NA’ will Enter NA value for the parameters for that particular reading. This tab will be initially red. On entering data and clicking save, the tab may turn orange if not all parameters are filled. Click ‘NA’ for any blank fields that have no data. The tab will turn blue if there are no empty fields.

Vision Tab

Both Far and Near vision consist of aided (with spectacles) and Unaided (without spectacles) options. When the NA checkbox is selected, the value ‘NA’ will be populated for the left and right readings.

The Color Vision has a dropdown box for selecting the results. Select ‘NA’ if you do not wish to track this parameter. The default value for the remarks is NA. Enter the remarks if required.

The tonometry results is a tabular structure for entering left and right readings. Enter NA if a reading is not provided. The default value for the remarks is NA. Enter the remarks if required.

Initially the tab color is red. If some data is entered and saved the color may be orange.

The tab color will turn blue if there are no empty fields.

Spirometry Tab

The functionality of this tab is similar to the other tabs. The result is a dropdown box. Select NA if you do not wish to track this field. The default value for the remarks is NA. Enter the remarks if required.

Audiometry Tab

The Audiometry results have a similar structure as of the tonometry results. A table is provided for the right and left ear. if any of the cells of the table are to be skipped, please enter ‘NA’. The results dropdown is for the doctor to enter the final overall result of the audiometry test. Select ‘NA’ if you do not wish to track this parameter. The default value for the remarks is NA. Enter the remarks if required.

Investigations Tab

For information related to uploading and syncing HTML reports please refer to Uploading PDF and HTML reports for more information.

The functionality of this tab is similar to the other tabs. The result for each investigation is a dropdown box. Select NA if you do not wish to track this field. The default value for the remark is NA. Enter the remarks if required. Each individual investigation has a save button.

Initially the tab color is red. If some data is entered and saved the color may be orange. The tab color will turn blue if there are no empty fields.

Imaging Tab

For information related to syncing the imaging data into the imaging tab please refer to Imaging Reports - HTML Reports for more information.

The functionality of this tab is similar to the other tabs. The result for each imaging test/ultrasound is a dropdown box. Additional fields may exist such as text fields for certain scores and checkboxes. Select or type NA if you do not wish to track a particular field. The default value for the remarks is NA. Enter the remarks if required. Each individual imaging test has a save button.

Initially the tab color is red. If some data is entered and saved the color may be orange. The tab color will turn blue if there are no empty fields.

Laboratory Tab

For information related to syncing the laboratory data into the laboratory tab please refer to Labs PDF Reports.

The laboratory tab includes all lab parameters segregated by the profile. The order of parameters listed is similar to the lab report. Each parameter has a NA checkbox beside it to check if you do not wish to track the parameter.

Note: The lab parameters do not accept values such as ‘--’ during report generation.

“Hide reference range” button

For a few parameters, we will be presenting the “hide reference range” button for adding a reference range. Some labs may be using more than one reference range for a biomarker, or the labs recently updated the reference range for a biomarker. This biomarker will be provided this option to add a reference range which will be used in the patient’s report.

Users will be able to see the input box for the range values. In this case the range accepted will be a closed numerical range with two limits, a lower and upper limit. For e.g. [6.68 - 25.70] so the Min value will be 6.68 and the Max value will be 25.70.

Please add the reference range and then click “Save” on the laboratory tab. You can click the ‘hide reference range’ button to hide the reference range input from view.

Progesterone

If a patient is menopaused, you may see this appear in the laboratory tab in the “Hormonal Profile”.

The conditions that our system checks for alerting that the patient is menopaused are either:

Doctor checks the Menopause checkbox to indicate patient is menopaused, or (if checkbox is not checked)
System checks the patient’s age and last menstruation date if it qualifies the following criteria:

Patient is 50 years old and above
Patient’s last menstruation Period radio button is “Date”
Patient’s last menstruation date was 365 days ago or earlier.

Status of urine and stool results (Urinalysis/Urine Chemistry, Urine Microscopy, Stool Analysis panel)

The Status option under the Urinalysis, Urine Microscopy and Stool Analysis panels of the laboratory tab allows the users to add the status of the respective results. The three options are as follows:

Exclude from Report: The panel is to be excluded from evaluation in the report.
Report Panel as Pending: The Blood Tests (Areas Of Concern) page will show the results of this panel as “Pending” in the report. Below is a sample of the output.

Report Results: The values added in this panel will be evaluated and be shown on the report accordingly.

Procedures Tab

The functionality of this tab is similar to the other tabs. The result for each procedure is a dropdown box. Additional fields may exist such as text fields for certain scores and checkboxes. Select or type NA if you do not wish to track a particular field. The default value for the remarks is NA. Enter the remarks if required. Each individual procedure has a save button.

Draft Report Tab

Initially, the draft report tab colour will be red. After the draft report is generated, the tab will turn orange. After the final pdf report is generated, the tab will turn blue. For more information related to report generation please refer to Generating Drafts & Final Report.

How to upload PDF/HTML reports?

For System integrated in Plato

For a particular patient, in "Patient Records" in the tabs in plato (e.g. "Labs", "Radiology"), please click the "Upload" button to upload pdf reports or click the "Add Note" button to enter html text. Please contact your IT department if you have any issues related to the tabs in Plato.

Labs PDF reports

After the sync button is pressed, do not make any changes to the laboratory tab until the sync’d values are shown.

Saving the lab tab at this point will overwrite the sync’d values.

If the sync does not work, change the system time for the note to upload the lab report again and press the sync button.

Imaging reports-HTML Reports

Check with your administrator to confirm the “folder” name to upload the radiology results to. Ensure that the health screen session starts date and time is before the note’s date in Plato.

Click on the “Sync with Plato” button to sync notes. Sync’d notes will show up in the “Remarks” box of the respective imaging test.

If results are not synced repeatedly for the same imaging tests, please contact your IT and provide samples of the reports which were not syncing.

You can cut and paste the report content into the remarks box when the sync doesn’t work.

What do I do if the sync doesn’t work?

After the sync button is pressed, do not make any changes to the laboratory tab until the sync’d values are shown. Saving the lab tab at this point will overwrite the sync’d values.

If the sync does not work, change the system time for the note to upload the lab report again and press the sync button.

How do I generate the Health screening report?

The draft report tab has 4 buttons. The “Generate Draft” button, generates a draft version of the pdf report. The draft report is open to editing within the browser and any changes to this draft can be saved by clicking the “Save” button.

If you do not click the save button, then your changes will be lost when you switch to another tab or refresh the application. If you made changes to fields in other tabs, you are required to generate a new draft to reflect your changes and any edits to the drafts will be lost. Please copy your changes into a notepad and then paste them into the new draft.

Users with edit draft report rights can make changes to the “Key Recommendations”

Leaving the key recommendations blank, will result in the entire row being removed when the PDF report is generated.

After all the changes have been made, you can generate the final report by clicking the “Generate Final Report” button. Please check if the changes made to the draft have been reflected in the final report.

After the Final PDF Report is loaded, you may choose to view the report in our embedded viewer or click “Download Report” to obtain a local version of the PDF report.

For System integrated in Plato

To upload the final report to plato, click the “Upload Report to Plato” button. Then refresh the browser. The report will be uploaded to the tab based on your requirements.

Please contact your IT team regarding the “folder name” that the report will be uploaded to.
